1. Purpose and scope
This policy describes how the association should prevent and manage acute crisis situations, such as death, major accident, threats, pandemic disruption, or other sudden extraordinary events. The policy applies to board members, volunteers, and representatives within Autism Dad United.
2. Definition of crisis
A crisis is an event that deviates from the normal and has serious impact on the association’s function or individuals, and which requires immediate coordination and management.
3. Crisis preparedness and division of responsibilities
Upon establishment, a crisis group is called, consisting of at least the chairperson and treasurer, with mandate to lead measures in crisis situations. The group is convened when needed and has special responsibility for decisions about interventions, communication, and external contact.
4. Preparations & annual follow-up
A simple risk analysis is conducted annually at the constituting board meeting. An exercise or plan update is conducted annually to ensure that division of responsibilities is current and known.
5. Communication plan during crisis
The crisis group appoints a spokesperson – usually the chairperson – for all external communication. Internal communication occurs via email to the board and volunteer groups. A brief press release or email is prepared to inform members or partners.
6. Support intervention and care
For affected individuals, conversation support is offered through the crisis hotline or via CBT therapists in the mentor structure. The crisis group is responsible for ensuring the association offers psychosocial support or information about external help as needed.
7. Documentation
All information about crisis events is documented in a crisis protocol, including date, actors, decision basis, measures, and follow-up.
8. Evaluation and feedback
After crisis events, a follow-up meeting is held within two months to evaluate efforts, routines, and lessons learned.
9. Revision and validity
The policy is established by the board and applies until further notice. Revised at least every other year.
