Procedures to Prevent Irregularities

1. Purpose and background:
The purpose of these procedures is to ensure that Autism Dad United conducts its activities with high transparency, accountability, and ethical awareness. The procedures protect both the association and its members from irregularities, mishandling, and misunderstandings.

2. Areas of responsibility:
The board is responsible for ensuring that the procedures are followed. The financial manager has special responsibility for budget, bookkeeping, and authorization. The chairperson has overall responsibility for ensuring that the procedures are implemented and complied with.

3. Financial control

  • At least two people on the board must approve all payments.
  • All expenses must be documented with receipts and sent digitally.
  • Accounting and supporting documents are stored in cloud service (e.g., Google Drive) with backup.


4. Permissions and access

  • Only the chairperson and financial manager have access to the association’s bank account and bookkeeping.
  • Passwords and permissions are managed in secure cloud service or password-protected file.
  • All access to documents must be traceable and timestamped.


5. External review and transparency

  • The board presents financial overview at each board meeting.
  • Annual financial statements are made available to all members.
  • Audit certificate or equivalent review report can be requested when needed.


6. Response to suspected irregularities

  • Suspicions are reported according to the association’s whistleblower policy.
  • The board freezes transactions until investigation is completed.
  • All handling is documented and archived separately.


7. Training and core values

  • All new board members sign the code of conduct.
  • Introduction about finances, whistleblowing, and governing documents takes place at the start of the new board year.
  • Ethics and responsibility are regularly highlighted in board work.
